Parts Assistant - Parts Counter Person
Duties and Responsibilities:
- Customer Service & Sales: Identify customer needs through technical descriptions or old part inspections and recommend appropriate replacement parts or accessories.
- Inventory Management: Maintain accurate stock records using the Acumatica system, perform regular cycle counts, and organize the stockroom for efficient retrieval while maintaining a neat and orderly warehouse area.
- Order Fulfillment: Process orders from in-person customers, phone inquiries, and internal technicians. This includes pulling items from stock, placing special orders for out-of-stock items, and following up on backorders.
- Technical Support: Utilize parts catalogs (digital or physical) to look up stock numbers and explain technical functions to customers.
- Receive and inspect all incoming materials and reconcile them with packing lists, reports, and documents. Track damages and discrepancies on received orders and prepare discrepancy reports when needed.
- Prepare documents pertinent to the department’s operations and maintain files (e.g., Parts Withdrawal, Rob-Out, Returns, Parts Transfer, etc.).
- Check and recommend items for stock replenishment and report to Inventory Staff for proper action.
- Answer questions regarding procedures and resolve discrepancies regarding receipts, deliveries, and stock.
- Ensure proper monitoring of all parts returns, damaged and defective items, and rob-out parts.
- Communicate unsafe conditions or accidents/injuries to the immediate superior to facilitate prompt correction or reporting.
- Submit monthly reports such as Pre-Pick Report to Issuance (w/ aging), Stock Transfer Report, Receiving-Local Report, and Rob-Out Parts Report.
- Perform other functions that may be assigned by the immediate superior from time to time.
Qualifications:
- Graduate of Business Management, Computer/IT, or any Technical/Vocational course.
- With at least three (3) years of relevant work experience in Warehousing and Logistics.
- Possesses strong interpersonal skills.
- Familiar with warehouse and logistics procedures and practices; knowledgeable in parts classification.
- Computer literate (MS Excel, Word, and PowerPoint).
- Can operate warehouse equipment (e.g., forklift and similar equipment).
