PA & Office Administration Supervisor

A brief summary of the provided position as below :

The main responsibility of the Personal Assistant is to manage operational business task supporting the Manager and foreign colleagues. This is achieved by arranging meetings, organizing travel and accommodation, handling correspondence, filing and organizing documents, recording meeting minutes, creating the presentation in PPT and etc.

 

Personal Assistant:

  • To schedule appointments, manage travel arrangements and itineraries
  • To arrange visitors to China (invitation letter; other arrangement);
  • To arrange customers' trip to overseas (agenda; program; accommodation; transportation; tickets, etc.)
  • To arrange board meetings and regional meetings; making meeting minutes;
  • To take care of line Manager and foreign colleagues’ daily expenses claims;
  • As the translator and interpreter of Manager and foreign colleagues ;
  • Coordinate communications between internal and external stakeholders
  • To help line Manager to handle receiving and sending documents;
  • To arrange line manager’s travel and daily schedule reasonably;
  • Other daily work arranged by line Manager.
  • Creation of documents/presentations for communication with other Traton units, including Executive Management

Office Administration Supervisor:

  • To coordinate all administrative activities such as transportation arrangement, mailing, filing, answering phones, stationary supplies, etc. in each office premises;
  • To manage the reception areas to ensure the image of the office is demonstrated in a positive and welcome way to all the incoming visitors;
  • To organize employee activities;
  • To initiate and execute office policies and routines;
  • To supervise and allocate drivers, Ayi, receptionists, administrative staff’s daily work in the office premises;
  • To supervise office renovation, maintenance and security.

 

Education and/or Experience

  • Bachelor degree or above
  • At least 4 years’ experiences with office administration and the personal assistant;
  • Good computer skills in a Microsoft Windows environment
  • Professional interpreter (English) is a plus
